# LTL (Freight) Orders — Training Outlines

> **Scope note (16 Jul):** LTL returns — item **and** core — are **not** supported. Freight returns
> are handled off-platform. LTL is only: **release (Central) → confirm shipment (PAMS) → cancel**.

> **Rule for the PAMS document:** describe only what PAMS sees and does inside Go-Parts Ship.
> Do **not** mention Central, sandbox, PO pushes, webhooks, or "record-only" — those are internal.
> The Staff document may reference internal flow (Central, Go-Parts Ship, sync) freely.

## 1) What to train STAFF on

Staff work in **two** systems: **Central** (where an LTL order is identified and processed) and the
**Go-Parts Ship Staff panel** (where they monitor freight orders and handle communication). Their
role on Go-Parts Ship is **oversight** — they do **not** confirm shipment or cancel there; PAMS
confirms shipment, and release/cancel happen in Central.

### A. In Central (admin panel)

1. **Logging in** — central.go-parts.com; where orders live.
2. **Recognising an LTL / freight item** — the **LTL / Freight** badge shown on the item wherever it
   appears: Orders page, order detail, Fulfillment, and Used Parts Search.
3. **Filtering LTL orders** — on the Orders page, the **"LTL / Freight Orders"** checkbox filter
   ("LTL / Freight Only") to isolate every order that contains a freight item.
4. **How an LTL order is processed** — LTL items are **not** auto-fulfilled. A person must review the
   freight item and set its status to **"Ready to Order."** Doing so hands the order to PAMS on
   Go-Parts Ship (creates the order record there) and sends the purchase order. Emphasise the manual
   verification step — nothing goes to PAMS until "Ready to Order" is set.
5. **Watching the round-trip on Central** — after PAMS ships, the item shows **Shipped** with the
   freight tracking; **Cancelled** if cancelled on either side. Updates automatically as PAMS acts.
6. **Cancelling** — setting an LTL order to **Cancelled** in Central, and that it syncs to Go-Parts
   Ship (and vice-versa).

### B. In the Go-Parts Ship Staff panel (oversight)

7. **Where LTL lives** — the **"LTL Orders"** item in the left nav (beside Orders, truck icon, with
   an "awaiting" count badge).
8. **Why it's separate** — freight orders are pulled OUT of the normal Orders list and live only
   under **LTL Orders**, so the main list stays clean.
9. **Reading the LTL list** — Order #, Item / Recipient / account, Status, **Carrier / Tracking**
   (freight columns not shown on normal orders), Assigned.
10. **Status tabs** — **All · Awaiting Shipment · Shipped · Cancelled**, each with a count badge.
11. **Filters & search** — Assignment (me / unassigned / by staff member), Account, Order age;
    searching by order #, recipient, or account email.
12. **Claiming an order** — **Assign to me** / **Release** and the Assigned badge.
13. **Opening an LTL order** — the shared order detail: what to read (status, freight carrier +
    tracking); confirming staff have **no** ship / cancel buttons here.
14. **Log in as (impersonate)** — opening the account's own view to troubleshoot.
15. **Messaging (common inbox)** — the **Messages** section shows threads from **both** normal orders
    and LTL orders together; replying as the "ops" side from the order page or the inbox.
    (Note: PAMS-side messaging is not enabled yet.)
16. **The lifecycle staff observe** — Awaiting Shipment → (PAMS confirms tracking) Shipped — or
    Cancelled — kept in sync with Central automatically.

## 2) What to train PAMS on (Go-Parts Ship)

Role: **fulfilment**. PAMS ships the freight themselves and records the outcome here. The platform
does **not** print shipping labels for these orders — PAMS arranges the freight directly.

1. **Finding LTL Orders** — the **LTL** item in the top navigation, and the side sub-menu:
   **Awaiting Shipment · Shipped · Cancelled** (each shows a count).
2. **Reviewing a new order** — opening an order in **Awaiting Shipment**: item, quantity, recipient /
   delivery details, and any freight notes.
3. **Confirming shipment** — the **Confirm Shipment** action: enter the **tracking number** and
   **carrier**, submit → the order moves to **Shipped**. (One order at a time; per order.)
4. **Cancelled orders** — where cancelled freight orders appear and what "Cancelled" means.

> Not in scope for PAMS training yet: in-platform messaging (currently disabled for the PAMS
> account; can be enabled later).
